My customers
One record per customer, with their quotes, invoices, payments and notes together.
Bring customers back
People who bought before but not in the last 60 days. A friendly message from your own WhatsApp often brings a repeat order.
{first_name} and {business} are filled in for each person. People who asked not to be contacted are listed without a message button.
Enquiries not yet in My customers
from your enquiry link and follow-up list. Add them so their quotes and payments stay in one place.
Import and export
Bring customers in from a spreadsheet (columns: Name, Phone, Email, Type, Tags). Duplicates by phone number are skipped. Your records are always yours to download.
My leads
Everyone who has asked about buying, from your ads, links, WhatsApp and enquiry form, sorted by how close they are to paying.
New WhatsApp messages appear here by themselves once your number is connected through our WhatsApp partner. Until then, use “Log a WhatsApp chat” and your tracked links.
Follow-ups
Messages that keep a lead warm until they buy. They stop on their own when the person replies, pays, is marked lost or asks you to stop.
Daily WhatsApp business reminders
Get a short WhatsApp nudge to open VSE when customers need follow-up. Your customers are not messaged by this feature.
- Enter the number that receives your own WhatsApp messages.
- Agree to reminders, then send START VSE from that number to verify it.
- VSE prepares your morning summary; the Vendor Sales Engine WhatsApp number sends it after setup is activated.
After saving, use the same number to send START VSE to our business WhatsApp. We will only send reminders after confirmation.
Send START VSE in WhatsAppWhatsApp template approval, messaging charges and delivery-provider setup are managed by PrimeClientFlow. Opening your dashboard still requires signing in. Receiving a reminder does not send messages to your customers automatically.
Ready to send
Each message is written for you. Tap “Send on WhatsApp”, check it and press send, then tap “Yes, sent” here.
Sending automatically
Queued for your connected WhatsApp number.
Follow-up plans
Each plan is a few messages with a wait between them. A plan starts by itself for new leads, after a quote, when a tag is added, or when you start it for someone.
WhatsApp connection and message credits
WhatsApp message templates
Outside the 24 hours after a customer's last message, WhatsApp only allows templates that Meta has approved. We submit them for you once your number is connected.
Lead sources
Tracked links for your ads, Status, bio and flyers. Every enquiry is labelled with where it came from, so you can see which ads bring paying customers. Looking for your earlier enquiry links? Open them here.
By source
By lead type (tag)
Automatic tags
When a message contains a word below, the lead gets that tag. Tags can start a follow-up plan, such as “wholesale”.
Orders and delivery
Every order from confirmed to delivered, with the address, rider and delivery date in one place. Stock goes out when the order leaves.
Delivery updates are drafts that open in your own WhatsApp. Nothing is sent automatically.
Appointments
Bookings, fittings and visits, with who is doing them. Two bookings for the same person at the same time are refused.
Times are Lagos time. Reminders open in your own WhatsApp; nothing is sent automatically.
Agreements
Put the deal in writing before you start: what you'll deliver, the price, the deposit and the dates. Fill a template from a customer's quote or invoice, print it, and record when it's signed.
These templates have not been reviewed by a Nigerian lawyer. They are a starting point, not legal advice. Read every line, change it to fit your deal, and have a lawyer check anything important.
Quotes
Send a clear price before the customer pays. When they agree, turn the quote into an invoice in one step.
Invoices
Numbered invoices you can print, save as PDF or share on WhatsApp. Record each payment when it arrives; a receipt is issued automatically.
Repeating invoices
Retainers, rent, school fees, subscriptions. A draft is prepared on each date for you to check and send, or issued straight away if you choose.
Payments are recorded by you — the app does not see your bank account. Mark money as received only when it has actually arrived.
Money owed to me
Every unpaid invoice, oldest due date first. Send a reminder from your own WhatsApp and record the payment when it lands.
Payments received
Each payment has its own receipt number
My expenses
Record money going out — stock, delivery, rent, data — so your reports show the full picture.
This month
Products and stock
Save what you sell with its price and cost. Turn on stock tracking for products you keep in stock, and get an alert before you run out.
Running low
Products at or below their alert level.
Stock moves only through records: stock received, sales and orders going out, returns, damage and counts. You can't type over the number, so the history always adds up.
My tasks
Deliveries, calls, payments to chase — everything you need to remember, in one list.
Repeating tasks
Weekly stock counts, monthly supplier payments, quarterly reviews. Each one appears in the list on its date.
Business reports
Close the day in a minute: what came in, what went out, and what to carry into tomorrow. Built only from what you recorded.

Carry into tomorrow
About these numbers: "Cash in minus cash out" is money received minus expenses you recorded in the period. It is not profit — it ignores stock you still hold, money owed to you, and costs you haven't entered. "Invoiced" is what you billed, not what you collected. Stock value uses the cost and price you saved; products without a cost are left out of the cost figure. VAT shown on invoices is only what you charged; this is not a tax return.
Monthly business review
One page for the month: money in and out, compared with the month before, best customers and products, orders, appointments and what is still owed. Print it or save it as a PDF for your records or your bank.
Download your records
Spreadsheet files you can open in Excel or Google Sheets, or give to your accountant.
Invoice settings
These details print on your quotes, invoices and receipts.
Only the business owner can change these settings.
Nigeria's e-invoicing system (FIRS/NRS MBS) applies first to large and medium taxpayers (₦1bn+ turnover). Documents here are ordinary business invoices and are not submitted to the tax authority.
My team
Give staff their own login instead of sharing your password. Everyone sees the same customers, orders and invoices; only you control settings.
